Workspace setup and configuration
Your onboarding specialist joins a 90-minute setup call. By the end:
- Workspace created, branding applied (logo, colours, domain)
- User accounts created for all team members
- Permission roles configured (admin, compliance officer, standard user, view-only)
- Module selection confirmed based on your plan
- GDPR configuration: data residency region confirmed, DPA counter-signed
Data migration
We import your existing client data the next morning:

- Existing documents bulk-uploaded to Vault with automatic client linking
- Historical email threads imported where relevant

Why most onboardings finish early
The four-day timeline is a ceiling, not a floor. The most common reason onboardings finish in two days instead of four is that firms arrive with a clean CRM export and one person who's clearly been designated as the internal champion. With clean data and a decisive contact, Days 2 and 3 compress significantly.
The most common reason onboardings take slightly longer is the opposite: data in multiple systems, no clear internal owner, and decisions being made by committee. If that's your situation, we'd suggest designating a single decision-maker before you start. The technical work takes hours. The organisational alignment is where time goes.
Enterprise-tier onboarding: For firms with 50+ users, complex data migration requirements, or multiple office locations, we offer extended onboarding with dedicated project management, custom integration development, and a phased rollout plan. The timeline extends — but not to months. Enterprise onboardings typically complete in 2–3 weeks.
After go-live: the first 30 days
Going live is day one, not the finish line. Your onboarding specialist remains available for the first 30 days post-launch. The most valuable thing you can do in that period is use the platform actively — run the first AI Operator compliance task, process the first DSAR, close the first service desk ticket. The platform learns from usage; the more you use it, the better it gets at your specific workflows.
What if we have a custom integration requirement?
Custom integrations are assessed during the pre-onboarding scoping call. Most common integrations (Xero, QuickBooks, Clio, HubSpot) have pre-built connectors that activate during Day 2. Custom API integrations with bespoke systems are scoped separately and typically built in 1–2 weeks alongside the main onboarding.
Can we add modules after go-live?
Yes — modules are activated with a single toggle in workspace settings. Each new module has its own configuration checklist and typically takes 30–60 minutes to set up with your onboarding specialist's help.
